Job Description


Job purpose

Reports to: SAH Operations Manager

The role holder will be expected to broadly support the running of the Small Animal Hospital (SAH), supporting the clinical teams in delivering outstanding care and student experience whilst remaining financially sustainable and reacting to new business opportunities for growth.

The role will include business analysis responsibilities with support from the central finance team, SAH Operations Manager and Hospital Director. This will include regular review of fees and prices to ensure clinical departments remain profitable and reactive to market forces. The role holder will also be expected to carry out audits of clinical departments to review caseload, revenue streams, and procedure analysis. This will also include responsibilities in reviewing billing practices to ensure protocols are followed.

The role holder will support Continuous Improvement projects within the Small Animal Hospital where directed by the SAH Management team, for example data gathering and support for trials.

To work with the Marketing and SAH management teams to identify opportunities for business development and support promotion of these.

The role holder will support the clinical teams in maintaining outstanding student experience through administrative support for ongoing training of colleagues and supporting the Small Animal Hospital Director, Area Leads, and Nursing Manager where directed with areas identified to be opportunities for student experience improvement.

To act as a super user for the Practice Management System, including support of new starters, implementation of updates including training where appropriate and where appropriate liaising with the PMS support teams to identify and resolve issues.

To support the SAH management team with administrative tasks, for example logistical support of locum and short-term contractors, management of protocols, or organisation of visitors, and projects, for example website content or responses to zoonotic disease cases.

The role holder can also be called upon to assist with providing HR support with matters arising within other divisions under direction of the CEO.

Principal Accountabilities:

These lists are not exhaustive but include the main tasks.

To support the ongoing delivery of outstanding, financially sustainable care and student experience by the Small Animal Hospital, and support analysis of new opportunities for growth.

  • Business analysis
    • To carry out audits of clinical fees and consumables and ensure prices remain accurate.
    • To review clinical areas when directed by the SAH management team to review caseload, procedures, resource costs and fees to ensure fixed prices and fees remain accurate and financially sustainable.
    • To implement competitor analysis
    • Audit will include review of billing accuracy and time to completion to ensure protocols are followed.
  • Business development and Continuous Improvement
    • To support clinical teams in growth of new revenue streams and expansion of current streams through data gathering and capture of trial outcomes
    • To collaborate with the Marketing team where opportunities for expansion have been identified to ensure promotion of these.
    • To ensure the website is maintained as up to date and accurate including prices where directed by the SAH Director
  • To support the clinical teams with delivering outstanding student experience by providing support including
    • Support for the implementation of ongoing teaching and learning sessions for SAH colleagues.
    • To report on areas where the SAH teams have opportunities for improvements on key performance indicators or subjective feedback identified by Bristol Vet School
  • To support the ongoing use and optimisation of the Practice Management System including
    • Training of new starters and annual induction processes for students
    • Implementation of updates including training of colleagues
    • Liaising with PMS support teams to identify and resolve issues.
  • To support the SAH management team where directed by the SAH Director or SAH Operations Manager including
    • Logistical support of locum arrangements or response to zoonotic diseases
    • Management of up-to-date protocols including Health and Safety, compliance, and SOPs
    • Organisation of visitors
